HARTZ  Search is a retained executive search firm with clients across the US known for our ability to source exceptional executive talent for interim and permanent placements. We place permanent and interim professionals in hard-to-fill positions for healthcare and academic organizations.

The Talent Coordinator is responsible for candidate sourcing, building a talent funnel, and assisting with administrative tasks throughout HARTZ Search’s candidate process.

A typical day as a Talent Coordinator:

  • Work closely with Executive Search Coordinator and Lead Recruiter to process and qualify identified candidates.
  • Coordinate with lead recruiter(s) to determine sourcing objectives for assigned searches.
  • Using social media networks to look for and connect with potential candidates; and interacting with professionals in niche platforms (targeted to job role).
  • Reviewing online portfolios and resumes to pre-screen candidates.
  • Building spreadsheets (or Encore Workbenches) of candidate targets.
  • Engage and activate passive candidates through recruiting best practices and programs.
  • Build relationships with candidate communities to maintain a network of potential candidates and nurture a pipeline of potential candidates.


Talent Coordinator Duties and Responsibilities:

  • Work following internet search, Encore candidate procedures and deliver frequent project updates – via email and database maintenance.
  • Create a plan of action, set project goals, and manage a completion receipt of final candidate application.
  • Formulate effective and efficient research process – including detailed tracking of all correspondences/communications.
  • Identify market trends and patterns – test job boards and sourcing tools for efficiency and availability of candidates.
  • Organize and maintain sourcing databases – spreadsheets in Encore.
  • Schedule candidate screenings and HARTZ Search interviews.
  • Submit candidate background/reference checks and add finalized reports to Encore.
  • Document, report and present candidates to Executive Search Coordinator and Lead Recruiter (s) by creating candidate summaries.


Research/Sourcing Functions:

Perform research and sourcing duties as it pertains to assigned searches and/or new business development, this includes but is not limited to:

  • Network Sourcing – prepare and distribute advertising through networking sources and internal database sourcing.
  • Definitive Healthcare/ZoomInfo – compile detailed sourcing lists (Excel Spreadsheets) of potential candidate and hospital targets based on established search criteria and based on regional or facility data complied.
  • Candidate Applications – Process incoming internet applications on a case-by-case basis and in a timely manner.
    • Check websites with resume access for new candidates.
  • Candidate Tracking - responsible for keeping meticulous track of sourcing activities to include maintaining a complete list of attempted phone call/email contacts for sourcing activities.
  • Communication Flow - responsible for maintaining meticulous records via excel spreadsheets/workbooks and Encore SOPs of all targeted candidates, communication attempts, and outcomes.


Candidate/Client Process Functions:

  • Documentation Preparation – utilizing data gathered from internet sources, client-provided resources, onsite assessments, etc. The R&SC will assist with the development of the written Position Overview, Executive Search Summary, and Advertisement for assigned searches.
  • Advertisement Posting – online job ad postings for searches will be handled on a case-by-case basis depending on the type of posting required.
  • General Application Processing – All candidate applications received via email whether general specific applications should be processed according to their resume and either sent an appropriate response or entered into the candidate process.
  • All identified candidates will be worked through the candidate process through each step to become qualified. Completed stages will be tracked with the database and on the flow sheet. Candidates should be processed and filed according to the search they are being considered for, to be accessed easily by anyone with HARTZ Search. Process steps include:
    • Candidate documentation – Candidate Application, Background Authorization, Executive Skills Inventory, Reference List, Professional Photo, Updated Resume as necessary.
    • Education Verification
    • Reference Checks
    • Candidate Summary Created.


Requirements and Qualifications:

  • Bachelor’s degree
  • Have 1 – 2 years of experience working the technical sourcing aspect of human resources with proven success metrics, either in-house or agency.
  • Possess exceptional written and verbal communication skills.
  • Ability to work independently – must be comfortable working alone on projects and have a sense of urgency.
  • Be organized, be engaged, be on-time, and be prepared.
  • Knowledge in various internet search methodologies, job board and resume access software and internet sourcing technologies (including LinkedIn).
  • Proficient/Intermediate skills using Microsoft Office 365 suite with emphasis on Microsoft tables and Excel.
  • Knowledge of healthcare executive search – preferred.
  • Well-versed in database management.
